Job Description

Position: Office Manager

Reports to: Executive Director

Status: Salary

Pay: $45,000-$50,000

Hours: Monday-Friday, 8:30 AM - 5 PM, with occasional weekend and after-hours work as needed

Position Summary/Purpose:

The Office Manager plays a key leadership and operational role in supporting the Chamber and Development Council of Crawford County (CDC). This position is responsible for managing financial operations, overseeing day-to-day office functions, coordinating events and programs, and maintaining strong relationships with CDC members and community partners.

The Office Manager works closely with the Executive Director to support the CDC’s mission and initiatives. In the absence of the Executive Director, the Office Manager may assist with leadership responsibilities to ensure continuity of operations.

The CDC is dedicated to fostering growth and prosperity across industrial, commercial, retail and tourism sectors. We serve as a trusted, resourceful, and knowledgeable Chamber & Development Council, uniting businesses, individuals, and communities for a vibrant county.

Qualifications:

  • Excellent organizational and time management skills

  • Self-motivated with the ability to work independently and manage multiple priorities

  • Positive, outgoing personality and ability to build great relationships with community leaders and residents

  • Ability to think strategically and implement solutions

  • Strong communication and customer service skills

  • Ability to work collaboratively as part of a small team

  • Valid driver's license and insurance

  • Ability to occasionally work evenings or weekends as needed

Primary Responsibilities

Financial & Administrative Operations

  • Manage and oversee the financial operations of the CDC

  • Maintain accounting records, including general ledger entries and account reconciliations

  • Prepare financial reports and supporting documentation for board meetings

  • Coordinate payroll processing and track PTO and time-off requests

  • Prepare and process invoices, deposits, and payments

  • Manage collections and member dues invoicing

  • Ensure compliance with all federal, state, and local tax filing requirements

  • Coordinate annual audits and serve as the CDC contact for external auditors

  • Assist the Executive Director with budgeting, financial planning, and cash management

Office & Organizational Operations

  • Oversee daily office operations, including phone, email, mail, filing, and records management

  • Maintain internal systems, including CRM, member records, and event databases

  • Order office supplies and manage office equipment and materials

  • Assist with office organization, light maintenance, and operational efficiency

  • Support risk management activities, including insurance coordination

Membership & Community Engagement

  • Lead membership outreach, recruitment, onboarding, and retention efforts

  • Maintain strong relationships with CDC members and provide ongoing support

  • Conduct member visits and assist businesses with resources and promotional opportunities

  • Manage general member communications, including newsletters, announcements, and updates

Marketing & Communications

  • Manage CDC social media accounts and website updates

  • Design marketing materials, graphics, and promotional content (primarily using Canva)

  • Coordinate community calendar updates and promotional emails

  • Assist members with marketing visibility through CDC communication channels

Events & Programs

  • Plan, coordinate, and support CDC events, meetings, and community initiatives

  • Plan logistics for programs such as business workshops, networking events, and community promotions

  • Support volunteer coordination and event record keeping

Knowledge, Skills & Abilities

  • Education or work experience in Business Administration, Accounting, Marketing, or a related field

  • Associate or Bachelor’s Degree preferred but not required

  • Strong financial management and organizational skills

  • Proficiency with accounting systems, CRM platforms, and basic marketing tools

  • Ability to analyze information and make sound recommendations

  • Ability to manage multiple projects and deadlines in a fast-paced environment

  • Residency within Crawford County preferred

Work Environment

  • Local travel within Crawford County during regular business hours

  • Occasional evening or weekend hours for events and meetings

  • Ability to work additional hours as organizational needs require

Physical Requirements

  • Frequent standing and walking

  • Ability to occasionally lift, carry, push, or pull materials and objects weighing up to 10 pounds

Salary & Benefits

Salary Range: $45,000 – $50,000 depending on experience
